Privacy Policy
Last updated: October 15, 2026
QueryBird ("we", "us", or "our") is a submission workspace for writers. This Privacy Policy explains what we collect, why we collect it, who we share it with, and the choices you have. It applies to the QueryBird website and apps. By creating an account or using QueryBird, you agree to the practices described here.
Information We Collect
- Account information: your name, email address, and account role. If you sign in with Google or Apple, we receive the name and email address those services share with us. Passwords are stored securely by our authentication provider and are never visible to us.
- Content you create: the material you enter into QueryBird, including manuscripts and their details, query letters, synopses, pitches, author bios, agent and submission records, follow-up dates, notes, journal entries, reminders, snippets and assets you save.
- Billing information: payments are processed by Stripe. We receive your subscription plan, status and billing period, plus the email address associated with your customer record. We never see or store your full card number.
- Usage data: product events that tell us which features are used, such as creating a submission, importing a file, or running an agent search. These events record counts and feature names, not the text of your writing.
- Technical data: standard server and device information such as IP address, browser type, and timestamps, collected by our hosting provider for security, reliability and troubleshooting.
- Stored on your device: a session token that keeps you signed in, and a light or dark theme preference. We do not use advertising cookies or third-party tracking pixels.
How We Use Your Information
- To create and maintain your account and provide the features you use.
- To make your content available to you and keep it organised across your manuscripts and submissions.
- To run the AI features you choose to use, as described below.
- To process subscription payments, manage your plan, and handle cancellations.
- To send you service emails: verification codes, password resets, account notices, and the weekly follow-up reminder summarising the queries whose follow-up date has arrived. You control those reminders by setting or clearing follow-up dates.
- To protect the service, prevent abuse, and debug problems.
- To understand which features are used and improve QueryBird, using aggregated usage data.
- To meet our legal and tax obligations.
AI Features and Your Content
When you use QueryBird Assistant, the query reviewer, the package builder, or agent discovery and research, the text you submit — such as a query letter, synopsis, pitch, bio or a description of your book — is sent to our AI providers so they can generate the response you asked for. Agent research also reads publicly available web sources.
We use your content only to produce the result for you. We do not use it to train AI models, and our AI providers are bound by contract to process it solely on our behalf. AI output can be inaccurate or incomplete, so treat it as feedback rather than fact, and avoid entering anything you would not want processed this way.
What We Do Not Collect
We do not collect your location, contacts, photos or camera feed. We do not track you across other apps or websites, and we do not sell or rent your personal information or use it for third-party advertising.
Sharing Your Information
We do not sell your personal information. We share it only with the service providers we rely on to run QueryBird, and only as far as needed:
- Base44, our application and hosting platform, which stores your account and content.
- Stripe, which processes subscription payments.
- Our email provider, which delivers verification, notification and reminder emails to you.
- Our AI providers, which generate the AI responses you request.
Each provider may use your information only to deliver their service to us. We may also disclose information if required by law, or to protect the rights and safety of our users and ourselves. If QueryBird is ever sold or merged, your information may transfer as part of that transaction, and this policy would continue to apply.
Where Your Data Is Kept
QueryBird and our providers process and store data on servers located in the United States and other regions. Where your information is transferred internationally, we rely on our providers' contractual safeguards for that transfer.
How Long We Keep It
We keep your account and content for as long as your account is active. When you delete your account, your account and the content associated with it are deleted from our live systems. Residual copies may remain in routine backups for a short period before being overwritten, and we may keep limited records where the law requires it, such as billing and tax records. Aggregated usage statistics that no longer identify you may be kept.
Your Choices and Rights
- You can view, edit and delete any manuscript, submission, note or other item you have entered.
- You can export your submissions as a CSV file at any time from the submissions screen.
- You can cancel your subscription from your billing page and keep access until the end of the period you have paid for.
- You can delete your entire account from inside the app, on your billing page under Account. Deletion is permanent.
- You can stop specific reminder emails by clearing that query's follow-up date.
Depending on where you live, you may have additional rights over your personal information, including the right to access it, correct it, delete it, receive a portable copy, object to certain processing, or withdraw consent. We do not discriminate against you for exercising these rights. To make a request, contact us using the details below.
Security
Your content is private to your account, and access is restricted to you and our administrators, who reach it only where needed to support you or operate the service. Data is encrypted in transit. No method of transmission or storage over the Internet is perfectly secure, so we cannot guarantee absolute security. Keep your own backups of your writing, and read our Terms of Service for the limits of our liability.
Children
QueryBird is built for adult writers and is not intended for children under 13, or under 16 where local law sets that age. We do not knowingly collect personal information from children. If you believe a child has given us their information, contact us and we will delete it.
Other Websites
QueryBird links out to agent profiles, agency websites and other public sources. Those sites have their own privacy practices, and this policy does not cover them.
Changes to This Policy
We may update this Privacy Policy from time to time. When we make significant changes we will notify you in the app or by email, and we will update the "Last updated" date at the top of this page. Continuing to use QueryBird after a change means you accept the revised policy.
Contact Us
If you have a question about this policy, or you want to access, correct, export or delete your personal information, you can reach us through the contact form, which is available both inside the app and on the public site, and does not require an account. You can also use the feedback button in the app. We respond to privacy requests within 30 days.
